  3. Lead alerts with Zapier

Free guideGet an alert for every new lead.

A lead alert is a message you get when a new lead comes in. Zapier also puts each lead in a Google Sheet.

Tri-County RoofingEmail alert
New lead · 2:05 PM

New lead: Sam Lee. Roof leak over the garage. Phone: 555-0142. From: website form.

Sam was added to your Google Sheet.

Example: a made-up roofing company. Zapier emails the owner and adds the lead to a sheet.

What this is.

Zapier connects apps that don't talk to each other. You set it up once, with no code.

When someone fills out your web form, Zapier adds them to a Google Sheet. Then it emails you.

It works with Facebook Lead Ads too.

On the free plan, each Zap has only two steps. So you make two small Zaps.

It logs the lead and alerts you. Calling them back is still up to you.

What you need

  • A free Zapier account
  • A free Google account for Google Sheets and Gmail
  • A web form app or Facebook Lead Ads
  • Quo, only if you want to text leads back

How to set up lead alerts with Zapier.

  1. Make your sheet.

In Google Sheets, make a new sheet. Add columns: Date, Name, Phone, Email, Job, Source.

  2. Sign up for Zapier.

Make a free Zapier account. Connect your Google account when it asks.

  3. Zap 1: lead to sheet.

Make a Zap. Start it with your form app or Facebook Lead Ads. Then add a Google Sheets row.

  4. Zap 2: lead to you.

Make a second Zap with the same start. This time, send yourself a Gmail email.

  5. Test each step.

Use Zapier's test button on each step. Check that the row and the email show up.

  6. Turn them on.

Turn on both Zaps. Turn on phone alerts for that email so you see it fast.

Subject: New lead: [Name]
[Name] just asked about [Job].
Phone: [Phone]
Email: [Email]
Call them back soon.

Text to send the lead (optional)

Only for Quo users with a third Zap. Do the phone check first.

Hi [Name], this is [Business name]. We got your request. We will call you soon. Reply STOP to stop.

What it costs.

The cost

Zapier Free: $0 for 100 tasks a month.

A task is one step Zapier does for you. Each lead uses 2 tasks here.

So the free plan covers about 50 leads a month.

Zapier Pro: $19.99 a month if you pay for a year. Or $29.99 month to month. It has 750 tasks.

Google Sheets and Gmail: free.

Optional texts with Quo: about 1 cent per text, plus a Quo plan.

Checked Oct 15, 2026 on Zapier's price page and Quo's price page. Prices change, so look again before you buy.

How fast it is

On the free plan, Zapier can take up to 15 minutes to see a new lead.

If you text the lead

Only text people who asked you for a quote.

Business texting needs a one-time phone check (A2P). It can take a few days.

End the text with Reply STOP to stop. A text Zap uses one more task per lead.

What it won't do

It won't call or follow up for you. It tells you, and you call.
